Systems Security Analyst

The Systems Security Analyst is a new position and is responsible for Vanilla’s overall Information Security Program. Vanilla is growing and dealing with larger customers who perform more in-depth due diligence before purchasing, making it more important than ever for us to maintain a well defined set of information security and privacy policies which are kept up to date and whose provisions are respected and enforced.

The Systems Security Analyst will build a comprehensive Information Security Program that defines policies and procedures designed to minimize risk and ensure the integrity, confidentiality and availability of information that is owned, controlled and processed within Vanilla. This program will be designed and implemented based on a detailed historical analysis of Vanilla’s current customers’ security requirements, in addition to those of Vanilla’s target customers and their industries.

In addition to building Vanilla’s Information Security Program, the Systems Security Analyst will be expected to work closely with management toward obtaining an industry standard certification such as ISO 27001 or SOC 1 / SOC 2. This will require consulting with all internal stakeholders to understand their operational security requirements and specific data security risks.

This position is located in Ottawa, Ontario or Montreal, Quebec and reports to the Chief Operating Officer. Remote workers outside of these two locations will not be considered.

Broad Responsibilities

  • Understanding Vanilla’s information and systems security needs and risk profile
  • Daily operation of the Information Security Program to mitigate these risks
  • Oversight of the annual and ongoing risk assessment process
  • Development, implementation, and maintenance of internal policies and procedures within the Information Security Program
  • Monitoring program compliance with existing and emerging regulations (GDPR, CAN-SPAM, etc)
  • Communication with external stakeholders to understand and address security inquiries and requirements on a per customer basis
  • Assisting with investigation and tracking of incidents and breaches
  • Working towards achieving an industry standard security certification such as ISO 27001 or SSAE 16 SOC 2

Specific Tasks

  • Build a comprehensive Information Security Program that defines policies and processes which will minimize risk and ensure the integrity, confidentiality and availability of information that is owned, controlled and processed within Vanilla
  • Ensure information security policies, standards, and procedures are up-to-date and audited regularly
  • Ensure that the disaster recovery, business continuity, risk management and access control needs are addressed
  • Initiate, facilitate, and promote activities to foster information security awareness within the organization (regular awareness sessions, etc)
  • Evaluate security trends, evolving threats, risks and vulnerabilities and apply process and policy changes to mitigate risk as necessary. Suggest tool changes where appropriate
  • Contribute to the handling of security incidents and events involving IT systems
  • Ensure compliance with the administrative, technical and physical safeguards mandated by the Information Security Program
  • Serves in a leadership and functional role for security and regulatory compliance
  • Implement initial and periodic information security risk assessment/analysis, mitigation and remediation. Responsible for development and implementation of a security risk management plan
  • Ensure organization has audit controls to monitor activity on electronic systems where applicable according the established information security policies
  • Oversee periodic monitoring and reviews of such audit records to ensure that activity is appropriate
  • Participate in the development, implementation, and ongoing compliance monitoring of all business agreements, to ensure security concerns, requirements, and responsibilities are addressed
  • Receive, understand and address inquiries from external stakeholders relating to Vanilla’s security program and posture
  • Develop and manage a process for the handling of Data Processing Agreements, Security Risk Assessments, etc
  • Establish and administer a process for investigating and acting on security incidents which may result in a privacy breach
  • Partner with Human Resources and upper management to ensure consistent sanctions for security violations
  • Maintain current knowledge of applicable local, federal and international laws, as well as certification requirements and accreditation standards
  • Serve as information security consultant to all departments for all data security related issues

  • Knowledge and experience in local and federal information security laws, such as PIPEDA, FERPA, HIPAA, GDPR, FedRAMP, Privacy Shield
  • Experience in a trust-based customer facing role

Migration Developer (PHP, MySQL)

We are looking for a Migration Developer to join our Services team to help us bring existing communities running on other platforms over to Vanilla’s Hosted Cloud.

As a Migration Developer, your primary responsibility is to process data exports from other platforms and convert them into a usable format for our import tools. You will work with several teams to deliver data migration services to our customers. You’ll be responsible for estimating on new migration tasks, and building custom import packages when we encounter new platforms.

  • Perform Services and Core development as needed

Skills:

  • 2+ years experience in PHP and MySQL.
  • Some experience with various RDMS such as MSSQL, Postgres.

  • Experience with parsing / data transformation.

Customer Success Manager

Accounting Technician

Vanilla is looking for a permanent part-time Accounting Technician to assist our accountant with a variety of accounting and customer billing tasks. The successful candidate must be organized, efficient and have a positive customer-focused attitude.

This position is located in Montreal, Quebec and reports to the Accountant. Remote workers will not be considered.

Responsibilities:

  • Customer billing and collections;
  • Record payments received by cheque, wire transfer and credit card;
  • Enter credit card charges in Quickbooks Online;
  • Enter employee expense reports in Quickbooks Online;
  • Prepare reconciliation of accounts payable and receivable;
  • Manage payables and receivables;
  • Provide support to customers with respect to billing issues;
  • Participate in preparing financial statements.

Desired qualifications:
